These terms govern your use of Bellrook services provided by Crown Ventures (trading as Bellrook). By engaging Bellrook services, you agree to these terms. Please read them carefully before proceeding.
1. About Bellrook
Bellrook is a trading name of Crown Ventures, a sole proprietorship operated by Sauradeep Das, based in Faridabad, Haryana, India. We provide AI-powered services to UK professional practices, including an AI Voice Receptionist service for dental practices and an AI Workflow Automation service for accountancy firms.

2. Services
Bellrook provides the following services, subject to a separate service agreement and Data Processing Agreement entered into between Bellrook and the client practice:
- Bellrook Receptionist — an AI voice receptionist service for UK private dental practices, handling inbound patient calls, appointment booking, and emergency triage
- Bellrook Workflow — an AI workflow automation service for UK accountancy firms, implementing and maintaining automated workflows including client document chasing, client onboarding, and meeting summary generation
The specific scope, deliverables, and commercial terms for each engagement are set out in the individual service agreement sent to the client following a discovery call.
3. Engagement and payment
- Services commence upon receipt of a signed service agreement and first invoice payment
- Monthly fees are invoiced on the first business day of each calendar month
- Payment is due within 14 days of invoice date
- Late payment may result in suspension of services after 7 days written notice
- All fees are quoted exclusive of VAT. VAT will be applied where applicable under UK law
4. Cancellation
- Either party may cancel services with 30 days written notice to hello@bellrook.com
- Notice periods begin from the date the written notice is received and acknowledged
- No refunds are provided for unused days within a monthly billing period
- Setup fees are non-refundable once configuration has commenced
- Upon cancellation, Bellrook will delete client data in accordance with the Data Processing Agreement
5. Data protection
- Bellrook is registered with the UK Information Commissioner's Office (ICO Registration: ZC157425) as a data controller and processor
- All client engagements are governed by a Data Processing Agreement (DPA) signed before any data processing commences
- Bellrook processes client data only as instructed by the client practice and only for the purposes set out in the DPA

6. Acceptable use
You agree not to use Bellrook services to:
- Process data in violation of UK GDPR or any applicable data protection law
- Engage in any unlawful, fraudulent, or harmful activity
- Misrepresent the nature or source of communications sent using Bellrook automations
- Transmit unsolicited commercial communications in violation of UK PECR
7. Intellectual property
- All Bellrook systems, workflows, prompts, and methodologies remain the intellectual property of Crown Ventures
- Client data processed through Bellrook systems remains the property of the client practice
- Bellrook grants the client a non-exclusive, non-transferable licence to use the outputs of the services during the engagement period
8. Limitation of liability
- Bellrook provides services on a reasonable endeavours basis. We do not guarantee that AI-generated outputs will be error-free or suitable for any specific purpose without human review
- All AI-generated content — including emails, summaries, and narratives — should be reviewed by a qualified professional before being acted upon or sent to third parties
- Bellrook's total liability for any claim arising from these services shall not exceed the total fees paid by the client in the three months preceding the claim
- Bellrook shall not be liable for indirect, consequential, or incidental loss
9. Governing law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
10. Changes to these terms
We may update these terms from time to time. Active clients will be notified of material changes by email with 30 days notice. Continued use of services after that period constitutes acceptance of the updated terms.
