Bellrook is a trading name of Crown Ventures. We provide two services to UK professional practices: an AI Voice Receptionist for private dental practices, and an AI Workflow Automation service for accountancy firms. Our registered business address for data protection purposes is 124 City Road, London, EC1V 2NX, United Kingdom.

2. What personal data we collect
Website visitors
- IP address and approximate location (collected by Cloudflare Analytics — anonymised)
- Pages visited, time on page, referral source (analytics only — no personal identification)
- Email address if you submit a waitlist or contact form
- Name, email, and meeting details if you book a discovery call via Cal.com
Discovery call enquirers
- Name, email address, practice name, and role
- Answers to our pre-call questionnaire (Google Forms)
- Notes from our discovery call conversation
Client practices (AI Workflow Automation service)
- Practice contact details for account management
- Data processed on your behalf under a separate Data Processing Agreement — this is your clients' data, not ours
Patient data (AI Voice Receptionist service)
- Call recordings and transcripts (processed on behalf of the dental practice under a Data Processing Agreement)
- Patient name, contact number, appointment details, and reason for calling
- This data is processed as a data processor on behalf of the dental practice (the data controller)
3. Why we collect it and our legal basis
- Legitimate interests — to contact enquirers, manage our sales pipeline, and improve our services
- Contract performance — to deliver the services you or your practice has engaged us to provide
- Legal obligation — to comply with UK GDPR, ICO registration requirements, and applicable UK law
- Consent — for marketing emails, where you have explicitly opted in
4. How we use your data
- To respond to enquiries and manage discovery call bookings
- To deliver the Bellrook services you have engaged
- To send service-related communications (proposals, invoices, updates)
- To improve our services through anonymised analytics
- We do not sell, rent, or share your personal data with third parties for marketing purposes
5. Who we share data with
We use the following subprocessors to deliver our services. All operate under GDPR-compliant data processing terms:
- Google Workspace — email, calendar, and document storage (EU/US data centres)
- Cal.com — discovery call scheduling
- Cloudflare — website analytics and security (anonymised data only)
- Anthropic / Google Gemini — AI text generation for automation workflows
- Make (Integromat) — workflow automation platform
- Vapi / ElevenLabs — voice AI for the receptionist service
- Netlify — website hosting
6. Data retention
- Enquiry and prospect data: retained for 12 months from last contact, then deleted
- Client account data: retained for the duration of the contract plus 6 years (for legal and tax purposes)
- Call recordings and transcripts: retained for 90 days unless otherwise agreed in the Data Processing Agreement
- Website analytics: anonymised, retained indefinitely
7. Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate personal data
- Request deletion of your personal data
- Object to processing based on legitimate interests
- Withdraw consent where processing is based on consent
- Lodge a complaint with the ICO at ico.org.uk

8. International transfers
Bellrook is operated from India. Personal data transferred to India is protected under the terms of our contracts with subprocessors and our ICO registration. Where subprocessors are based in the US, we rely on Standard Contractual Clauses or equivalent transfer mechanisms under UK GDPR.
